Many small businesses still use non-business, non-branded email addresses for everyday use. There is a misconception that in order to use your own domain and have email associated with it comes at a great cost.

This is the furthest from the truth. Domain names can be registered by anyone and typically cost in the range of $6.00 to $20.00 annually (more for non standard domains or country specific ones). Once you have the domain, you own that name space, your brand.

With this domain name you can build a website, or have one built for you. You can also associate email addresses with this domain. This gives your email a branded, professional look, which in turn gives your entire business a more professional appearance.

There are many different options for email including Commercial, Open-Source and Cloud based solutions. If you have the need for a small Windows Environment, than a Small Business server bundle from Microsoft on a leading server (Dell, HP, IBM) is the way to go. It comes with Windows Server (Authentication, File Services), Web Server (IIS), Sharepoint (portal which can be used for information storage and presentation internally or externally), and Exchange (Email server). The Small Business Bundle covers up to 75 users. There is also an option that provides Microsoft SQL server in the bundle.

Another option is an Open Source email server such as Zimbra or Spicebird. These are open source, Linux based solutions that are installed on your hardware or in a virtual server environment. Many of these have the same robust options as Microsoft Exchange, without the software costs associated. There are even mobile options on some of these.

A robust, low cost option is to use a cloud based provider. A very common one is to use Gmail for business. Your domain can be pointed at their server and your email is stored on their servers. It is accessible anywhere and can be viewed on most mobile platforms. It is free for up to 25 users and then it is a minimal cost per user thereafter. Access to the Gmail platform also provides access to all of the Google applications along with email.
